The commercial terms behind every PSSR.uk visit, written to be read by a café owner rather than a
lawyer. Last updated: .
Booking network and engineer responsibility
PSSR.uk operates as a marketing cooperative and booking network. We connect customers with
independent, qualified pressure system engineers who are registered with CoffeeSafe. We do not
employ the engineers who attend.
All examinations, certifications and public liability insurances are the responsibility of the
individual attending engineer. PSSR.uk is responsible for the accuracy of the booking, the price
quoted and the introduction it makes. Nothing in these terms makes PSSR.uk the competent person
for your Written Scheme of Examination, and nothing transfers an engineer's statutory duties to us.
1. Who we are
“PSSR.uk”, “we”, “us” and “our” refer to PSSR.UK, which operates the booking network described
below and trades through the website pssr.uk. “Client”, “you” and “your” refer to the business
engaging the services of an engineer through that network.
These terms apply to all examinations, servicing, water treatment, repairs and advisory work we
carry out. They take precedence over any conflicting purchase order or standard terms unless we
agree otherwise in writing. A booking confirmation (email or written quote acceptance) forms the
contract between us.
2. Scope of services
Statutory PSSR examination. Examination of the espresso machine pressure system by a competent person, followed by CoffeeSafe certification and an asset record.
Bundled service and examination. Front-end service using the consumable parts listed against each bundle, completed in the same visit as the examination.
Water treatment. Testing, cartridge supply and exchange, and bypass calibration.
Reactive repairs. Diagnosis and repair of faults, quoted before parts are fitted wherever time allows.
Grinder servicing. Strip-down, deep clean, burr assessment and calibration.
Work is carried out during normal trading hours unless an out-of-hours slot is agreed. You are
responsible for providing safe access to the machine, working water, drainage and power, and for
removing stock or equipment that obstructs the work area.
3. PSSR examinations & the Written Scheme of Examination
A Written Scheme of Examination (WSE) is the document that specifies what is to be examined, how,
and at what intervals for a given pressure system. We prepare a WSE specific to the machine on
site as part of the examination service.
The examination interval is set by that WSE and is commonly 14 months for a commercial espresso
boiler. It remains your responsibility, as the user of the pressure system, to ensure that
examinations are carried out within the specified interval and that the system is maintained in
good order between examinations.
Our role is to examine and report. We do not act as your health and safety adviser and we do not
provide legal advice. Where a machine cannot be safely examined — for example because it is
excessively scaled, corroded, leaking or electrically unsafe — we will stop work, report the
condition in writing and quote for rectification. Section 6 explains what happens
next, and there is no separate failure charge.
4. Pricing, VAT & payment
All prices exclude VAT, which is charged at the prevailing rate (currently 20%).
Published rates apply to sites anywhere in the UK. Travel is included in every examination and service price, with no mileage loading and no Congestion Charge passed on.
Quotes are valid for 30 days and assume the machine information supplied by you is accurate. If the machine on site differs materially — different group count, boiler type or condition — we will re-quote before starting work.
Invoices are payable within 14 days of the invoice date. Group and trade accounts may be billed monthly on agreed terms.
We reserve the right to charge interest on late payment at 4% above the Bank of England base rate, and to recover reasonable costs of recovery.
Additional time caused by site conditions outside our control (no parking, no access, missing isolation valves, unsafe electrics) is chargeable at £65 per hour, notified to you at the time.
5. Parts & exclusions
Bundle prices include only the consumable parts explicitly listed against that bundle — typically
group gaskets, shower plates, anti-vac valve seals and, where stated, a certified safety valve.
The following are charged additionally when replacement is required:
Certified safety valves where the existing valve cannot pass the examination (£35 + VAT, plus fitting where required)
Steam and water valve assemblies, tap bodies and rebuild kits beyond standard washers
Heating elements, boiler shells, flanges, gaskets and welds
Solenoid valves, pumps, expansion valves, flow meters and restrictors
Control boards, displays, keypads, probes and level sensors
Grinder burr sets and dose mechanisms
Water filtration vessels, heads and cartridges beyond the exchange price quoted
Any component damaged by scale, frost, water quality, incorrect installation or third-party work
Where additional parts are needed we will tell you the price before fitting wherever the machine
can be left in a safe condition. If you decline the work, the examination may be recorded as
incomplete and no certificate will be issued; the standard examination fee remains payable.
Parts supplied by us are warranted against manufacturing defect for 12 months and are not
warranted against scale, water quality or misuse.
6. If your machine does not pass
The examination is charged at the published rate whether or not the machine is certified. There
is no separate failure charge and no discounted rate in the event of a failure, because the same
examination work is carried out either way.
Where the machine does not pass, the attending engineer will explain to you in plain terms what
work is required to bring the pressure system into compliance: which component failed, why it
failed, and what rectification involves.
Where the vessel cannot be certified and cannot reasonably be brought into compliance, the
engineer will tell you that directly, explain the reason, and set out the realistic options
available to you rather than leaving you with a bare failure notice.
Findings are recorded in writing with photographs, together with a fixed price for any
rectification work. There is no obligation to proceed, and no requirement to use PSSR.uk for
the repair.
7. Multi-site & group discounts
Second machine at the same site, or within one mile: 15% off the equivalent single-machine rate.
Third and fourth machines within the same group: 20% off.
Five or more London locations under a group contract: fixed 20% discount across all site invoices.
Discounts apply to labour and examination elements, not to third-party parts supplied at cost, and cannot be combined with other promotional offers unless agreed in writing.
Group rates are reviewed annually and are conditional on invoices being settled within agreed terms.
8. Booking, cancellation & access
Appointments can be moved or cancelled free of charge with more than 24 hours' notice.
Cancellations within 24 hours, or a site that cannot be accessed on arrival, may be charged at £45 + VAT to cover the reserved slot and travel.
Where we cannot complete work because the machine is unsafe, unserviceable or not as described, the diagnostic fee applies.
Emergency call-outs are subject to engineer availability; the target response for contracted sites is the same working day where possible.
9. Liability & insurance
We hold £5,000,000 public liability and professional indemnity cover. Nothing in these terms
limits liability for death or personal injury caused by our negligence, for fraud, or for any
liability that cannot lawfully be limited.
Subject to that, our total liability arising out of or in connection with the services is limited
to the greater of the fees paid for the specific visit giving rise to the claim, or the sum
recoverable under our insurance for that incident. We are not liable for loss of profit,
loss of trading time, loss of goodwill, or indirect or consequential loss.
We are not liable for pre-existing faults, for faults arising from water quality, scale, frost,
electrical supply problems, third-party work or misuse, or for the consequences of a client
declining recommended remedial work. Our examination confirms the condition of the pressure
system at the time of the visit and does not certify the machine as a whole.
10. Privacy & data
We process business contact details, site information and machine records to provide the
services, to invoice for them, and to maintain compliance records. Our lawful bases are contract
performance and our legitimate interest in maintaining statutory examination records.
Machine and examination data is held in the PSSR.uk compliance register, which is how your certificate and six-year record are produced. Where you ask us to submit to a third-party scheme or registry, we share only the data that scheme requires.
Certificates, photographic evidence and job sheets are retained for a minimum of six years to support insurance and due-diligence enquiries.
We do not sell data. We share only what is necessary with any registry you ask us to submit to, our accountant and our insurer.
You can request a copy, correction or deletion of your data by emailing book@pssr.uk, subject to records we must retain by law or for insurance purposes.
This website uses no advertising or tracking cookies. Contact form submissions are transmitted to our email or CRM provider.
11. Complaints
If something is not right, tell us within 14 days of the visit. We will acknowledge within one
working day, investigate, and offer a remedy — which may include a return visit, a partial refund
of the labour element, or escalation to our insurer where a claim is involved. Where a dispute
concerns the technical outcome of an examination, we may ask an independent competent person to
review the evidence.
12. Certification model and independence
The Written Scheme of Examination is written and backed by CoffeeSafe. The examination is
carried out by an independent, CoffeeSafe-registered engineer from our network.
The two statutory functions are kept separate, as the regulations require.
Regulation 8 requires the written scheme of examination to
be drawn up, or certified as suitable, by a competent person, and reviewed at appropriate
intervals. That competent person for your scheme is CoffeeSafe, an independent scheme provider.
We issue the scheme to you on CoffeeSafe's certification basis; we do not write it ourselves
and we are not a scheme provider.
Regulation 9 requires the system to be examined by a
competent person in accordance with that scheme, and requires the examiner to make a written
report, sign it or add their name to it, and date it. On-site examinations are carried out by an
independent, CoffeeSafe-registered engineer from our network, who reports under regulation 9.
Your certificate comes from the same certification basis as the scheme. Where a client's insurer,
landlord or group requires submission to a particular registry, tell us at booking and we will
confirm any cost in writing before we travel. We submit to the scheme of their choice.
These terms are governed by the law of England and Wales, and the courts of England and Wales
have exclusive jurisdiction.
Need something confirmed before you book?
We will put any variation to these terms in writing on your quote — including out-of-hours rates, group pricing and bespoke scopes.
